VIRTUAL PROMOTIONAL PRESENTER POLICIES

ESEA Network is committed to providing a safe, productive, and welcoming environment for all meeting participants and staff. All presenters are expected to understand and follow the virtual presenter policies. Unlike standard Conference sessions, which cannot include any commercial focus, virtual Promotional sessions may highlight your organization’s products and services, but must include quality content as well. All virtual Promotional sessions are scheduled during dedicated Exhibit Hall hours.

Each presenter included on a proposal selected for presentation at the Conference must agree to the official Terms & Conditions of Show Management. The terms will outline all of the specifics of the presentation, including the date and time, a video recording release, and other binding provisions. Terms & Conditions language is standard for all presenters and wording cannot be revised. If your proposal is selected, please be certain that you are able to agree to all Terms & Conditions before signing.

Presenter changes or substitutions require approval by the Conference Planning Committee, and complimentary Conference registrations, if applicable, are non-transferrable. If a presenter change is necessary, a written request must be completed on the official Presenter Substitution Request Form and reviewed by the Conference Committee. If approved, the previous presenter’s Terms & Conditions agreement will be voided and a new agreement will be issued to the new presenter. If the proposed presenter is not approved, the presentation will be cancelled.

All accepted presenters (maximum 4 per session) receive a complimentary Full Conference Registration at the time the Terms & Conditions are accepted, as long as they have a paid-in-full virtual exhibit space. Vendors who choose to conduct a breakout session without a virtual exhibit space must purchase a full registration for each presenter.

There is no fee to submit a proposal for a promotional session, but if selected, companies must have a paid-in-full virtual exhibit space or have purchased a full registration for each presenter in order to present at the Conference. Virtual exhibit spaces may be purchased at any time.
